1. Overview & Commitment

CrewLink is a live tracking and telemetry system designed for runners, endurance athletes, and their support crews. This Privacy Policy describes how data is handled across the CrewLink Garmin Connect IQ Data Field and the CrewLink Web Dashboard and API Services (collectively, "CrewLink").

Core Privacy Principle: Your health and location data belongs entirely to you. CrewLink does not sell, rent, monetize, or share your data with advertisers or third-party data brokers.

2. Information We Collect

When you start an activity on your Garmin watch with the CrewLink data field enabled, the application transmits periodic telemetry (typically every 5 minutes) to the configured CrewLink server:

  • Location & Elevation: GPS latitude, longitude, and barometric total ascent.
  • Workout Performance Metrics: Distance covered, current pace, average speed, moving duration, and heart rate.
  • Course & Waypoint Telemetry: Active course destination name, distance to next waypoint, and checkpoint arrival calculations (when running with a loaded Garmin course).
  • Diagnostic & Device State: Watch battery level, timer state (active/paused/completed), and sport profile ID.

3. How We Use Your Information

The collected telemetry is used exclusively for the following real-time functions:

  • Rendering your live moving position and trail on the interactive spectator map.
  • Calculating accurate aid station and finish line estimated arrival times (ETAs) for your support crew.
  • Displaying real-time active spectator counts on your watch screen (e.g. W:3).
  • Generating an activity completion summary for viewers when your workout concludes.

4. Data Storage & Retention

  • Transient Session Telemetry: Live telemetry packets are cached in memory during active workouts to extrapolate smooth visual map updates between 5-minute watch transmissions.
  • 14-Hour Post-Race Retention: Once an activity is completed, a locked summary of the workout (finish time, distance, duration) remains visible to spectators for 14 hours.
  • Automatic Deletion: After 14 hours, temporary session breadcrumbs and auto-synced GPX course tracks are automatically purged from the server cache.

5. Self-Hosting & Data Sovereignty

CrewLink is built with open architecture. If you prefer not to use the public crewlink.run platform, the entire CrewLink Server is open source and can be deployed privately to your own Home Assistant instance, virtual private server (VPS), or cloud provider.

You can change your target server anytime via the Garmin Connect mobile app (Device Settings → Data Fields → CrewLink → Settings).

6. Security & Encryption

All communication between your Garmin watch, smartphone, CrewLink servers, and spectator browsers is encrypted in transit using industry-standard HTTPS (TLS 1.3).

Server administration and private crew views are protected by customizable Role-Based Access Control (RBAC) tokens.

7. Your Choices & Data Control

  • Stop Tracking: Stop or pause your workout on your Garmin watch, or remove the CrewLink data field from your activity data screens. When an activity is stopped, the watch immediately terminates all background radio events.
  • Clear Data: You can clear your active session logs and map markers at any time through the Admin Settings panel on the dashboard.
